If collecting within the scope of the museum's collection policy must divulge potential purchase to museum and allow space for museum to consider purchase themselves.
Do not acquire funds, whether board member, staff, volunteers, etc that are meant for the museum for private use.
No misuse or improper use of materials from the museum (intellectual property, curatorial appraisal etc, supplies, or museum purchased items for any private, outside use.
Conflict of Interest: Board
Full disclosure of other boards, trustee-ships, affiliations, or employments previous and during the tenure as board or staff member.
If current board members have relationship, affiliation, or employment with potential business working with the museum, the said board member will opt out of those particular discussions.
Transparency (All Staff, Board)
Transparency of budget, staff biographies, and museum policies.
Staff:
* All members will utilize Shared Drives for all museum-based work.
* At end of tenure at museum will provide all records, documents, and museum related materials to Human Resources and their particular department.
Non-Disclosure:
To be signed by all staff and board members, as well as contract employees and partnered businesses. No disclosure of private information, development of projects (unless opted by museum to disclose), or leaked items to the press.
For Collections, Curatorial Staff: Ethics of Collection
Will not include in potential acquisition any said object of unclear provenance, disputed or unknown origin.
Collection Development Policy - Accession:
When acquiring media-based or oral history based collections will ask, notify donor, artist, creator, or oral history participant of changes in media or switching of formats.
For oral history also get signed ability to use oral histories for exhibitions or public programs.
Acquire objects where we have close to all copy write or full use of item, items under restriction may be purchased if unique and desired for museum collections.
Deed of Gift: for Appendix of policy
If object is essential to our collection needs, works deeply into our mission, is of high quality, unique may purchase, acquire for permanent collection. For exhibitions or for one-time use may ask for short/long term loan.
The Collection Committee, a special committee under the Board will over see all acceptance of acquisitions and de-accessions.
Aim to collect slowly, build on unique and resonant items and loan for special/temporary exhibitions.
De-Accession:
Mission changes or does not fit mission
too damaged for museum to repair
Need to know if they own the object, search for documentation, who gave the donation (can they return to donor)
Are there duplicates
If accepted for De-Accession, place on public auction as well as publicize the De-Accession for local or related institutions to purchase at a discount or through extended payment.
